We are looking for a Business Development Manager to support the Practice Partners in carrying out day to day activity and to coordinate all aspects of the practice’s day-to-day business, motivating and managing staff, optimising efficiency and financial performance, and ensuring the practice achieves its long-term strategies.
The main duties of the role include:
- Day to day line management of the administrative team and reception team. Ensure performance is managed and there is appropriate supervision of staff. Ensure optimum staffing levels at all times with holiday and sickness absences managed. Ensure personnel and attendance records are maintained.
- Ensure all Reception and Admin staff are appraised annually and have a personal development plan which must be followed up. Co-ordinate training, identifying suitable courses.
- Review patterns and methods of work and skills-mix for both individuals and teams to ensure their efficient and effective functioning.
- Undertake staff reviews including matters relating to procedure implementation such as discipline, staff training and sickness absence.
- Check and approve staff overtime (with partners agreement)
- Lead recruitment and selection of employed staff
- Lead on the HR functions for all employed staff; recruitment, discipline, personal, legal, leave entitlement, staff inductions and training etc. Lead on reviewing/preparing staff contracts / job descriptions, recommending and making changes as required.
- Deal with grievances and disciplinary matters as may be required in conjunction with the partners.
- Co-ordinate and contribute to the agenda for Practice Learning Time (afternoon closure) for practice-based Time to Learn sessions
- Have an overview of doctor and staff duty and holiday rotas so as to maintain the efficient running of the Practice, book locums when required
- Lead and participate in, regular team leader, and management meetings, setting agendas and taking minutes where necessary Develop teamwork, ensuring well-run regular staff meetings and organising away-days and social functions
- Support Partners with planning and implementation of any necessary staff changes
- Develop HR and training policies in conjunction with the Assistant Practice Manager. Work closely with Practice Partners in developing and implementing Clinical policies and procedures.
- Ensure the processes are in place for the efficient day to day running of the practice e.g. surgeries/clinics of all staff and doctors, appointments, rotas/leave, staffing levels/hours, locum cover (as agreed with the partners), mail and email distribution etc.
- Circulate all information necessary to ensure the proper running of the practice for the benefit of doctors, staff and patients and assist in updating the practice website. Organise and administer filing / storage of such information
- Oversee and ensure the proper management of non-medical enquiries, seeking help where required
- Maintain, develop and run the Practice ‘in–house’ complaints system including documenting and reporting significant events or near misses. Be the first point of contact for patient formal complaints in accordance with practice policy. Act upon patient feedback/suggestions as required
- Be responsible for managing change of doctor requests from patients
- To maintain knowledge of employment law and update policies and procedures accordingly
- Be aware of the provisions of the Data Protection Act 1998 and implement confidentiality systems and processes in the practice
- Be actively involved in establishing and running a Patient Participation and Involvement Group within the practice
